The Opportunity
We are seeking highly organized and detail-oriented Business & Operations Support Resource(s) to provide operational, administrative, and technical support to the wireless infrastructure services portfolio.
This role will focus on maintaining data accuracy in our business systems, coordinating project activities and providing Tier 1 support, and ensuring smooth communication between internal teams and field resources. The position is designed to scale with our business needs, meaning the resource may initially focus on select responsibilities and expand into additional areas as requirements grow. Duties may span across multiple (but not necessarily all) of the functional areas described below, depending on business priorities and candidate experience.
Key Responsibilities
HubSpot Sales Operations
- Perform regular sales audits to ensure all records, deals, and contacts are accurate and up to date.
- Leverage HubSpot automation for system notifications and task reminders, with manual follow-up and escalation by this resource as required.
- Notify the Business Operations Manager of any exceptions, discrepancies, or other required alerts identified during sales audits or updates.
- Support sales team with pipeline hygiene and routine CRM maintenance.
Project Operations (via Project Management Platform)
- Conduct project resource audits to verify assignments and utilization are captured and maximized for efficient use of resources.
- Update project and task information within the platform to ensure alignment with delivery schedules.
- Notify the Field Operations Manager of any exceptions, discrepancies, or other required alerts identified during audits or project updates.
- Support material orders and inventory management, including tracking usage, updating records, and coordinating replenishment.
Daily Project Coordination
- Send job assignments and schedules to internal project staff and 1099 field resources.
- Collect and consolidate daily results, job completions, and field activity updates.
- Track and flag missing updates or exceptions for project management follow-up.
Business Operations Support
- Assist with recurring operational tasks, reporting, and documentation.
- Support routine company documentation processes such as sending W-9s, requesting and sending Certificates of Insurance (COIs), and other standard compliance/administrative documents.
- Provide administrative support to ensure smooth handoffs between sales, operations, and delivery teams.
Continuous Improvement of Operations
- Proactively identify and implement process improvements to enhance efficiency and data accuracy in HubSpot and other operational platforms.
- Leverage automation to streamline workflows, reducing manual effort and improving the quality of sales and project data.
Qualifications & Skills
- Prior experience in business operations, field operations, and wireless infrastructure projects.
- Familiarity with CRM (HubSpot) and project management platforms preferred.
- Strong written and verbal communication skills in English.
- Ability to work independently with high attention to detail.
- Strong organizational skills and ability to manage multiple priorities.
- Proficiency with Microsoft Office / Google Workspace.
Work Schedule
- Remote role supporting U.S.-based operations.
- Resource may be placed in one of two shifts (Eastern Time):
- 4:00 AM – 12:00 PM
- 2:00 PM – 10:00 PM
- 3rd Shift may be considered as operations expand.
- There is some flexibility on the shift times above.
Daily updates and responsiveness required.
